Job Summary
The Executive Assistant (EA) is a trusted, high-judgment partner to the Executive leader, orchestrating time, information, and priorities to maximize business impact. This role blends world-class executive support with analytical rigor and project management discipline—building dashboards, tracking Objective and Key Results, managing cross-functional workplans, and ensuring decisions, communications, and meetings drive measurable outcomes.
Essential Functions
- Serve as a trusted partner to the Executive, anticipating needs and proactively managing priorities.
- Triage inbound requests, ensure proper delegation, and safeguard confidentiality.
- Own a dynamic, complex calendar; plan long-horizon priorities and travel with proactive risk-spotting.
- Coordinate complex domestic and international travel itineraries, including planning itineraries, catering, booking flight reservations, and making hotel and transportation arrangements for Executive and identified department personnel.
- Prepare Executive for meetings with agendas, pre-read materials, decision logs, and follow-ups documenting decisions and actions tracking to closure.
- Draft and edit Executive communications, talking points, and updates.
- Synthesize complex information into concise executive summaries and insights.
- Coordinate preparation of Board, Investor, and Executive materials with high quality and accuracy.
- Stand up and run project management routines for executive initiatives including tracking risks, interdependencies, and critical items across teams.
- Prepares, verifies, documents, enters and reconciles such items as invoices, expense accounts, purchase cards (OnePay), etc. in accordance with corporate procedures, established budgets, and deadlines and acting as custodian of purchase card(s).
- Creates and modifies presentations, graphics, reports, spreadsheets, graphs, tables, charts, manuals, guides and flow charts, updating data as necessary and entering variance explanations.
- Conduct ad-hoc analyses supporting headcount, budget, vendor performance, and initiative health.
- Serve as a liaison across leaders and external partners with high professionalism.
Education Description
- Requires a minimum of a high school diploma or equivalent.
- Bachelor’s degree preferred
Experience
- Requires at least five years of related work experience; C-suite experience strongly preferred.
- Proven experience with data analysis, reporting, and executive-level presentations preferred.
- Experience preparing Board and Investor materials and coordinating preparations for and leading executive off sites preferred.
